Privacy Policy

Moment Vault ("we," "us") is a video memory collection service operated by Jonathan Meneses, based in Austin, Texas, USA. Your family's videos are deeply personal, and this policy explains plainly what we collect, why, and what control you have.

1. What We Collect

• Account information: your email address (we use passwordless magic-link sign-in, so we never store a password).
• Vault content: videos, names, and written messages that you and your contributors upload. We also generate derived data from videos — transcripts, thumbnails, and quality/processing metadata — to power features like search and highlight reels.
• Contributor details: if a vault owner invites contributors by email, we store the name and email address the owner provides so we can send the invitation and reminders.
• Technical data: IP address, browser type, and request logs, used for security (such as rate limiting) and to operate the Service.
• Usage analytics: anonymized page views and interaction events (see Section 4).

2. How We Use It

We use your data only to operate and improve the Service: storing and processing your videos, sending transactional email (sign-in links, invitations, upload notifications, export-ready notices), keeping the Service secure, and understanding how features are used. We never sell your data, and we never use your videos for advertising or to train AI models.

3. Who Can See Your Videos

Vaults are private. Videos are visible to the vault owner, and to people the owner shares links with — contribution links, kiosk links, and reveal links. Anyone with a reveal link can view that vault's approved videos, so share those links thoughtfully. We do not make vault content public or browsable.

4. Analytics & Cookies

We use essential cookies for sign-in sessions. For product analytics we use Google Analytics (with IP anonymization) and Amplitude, which use identifiers to measure feature usage. We configure analytics to use pseudonymous IDs — we do not send your email address to analytics providers, and we do not use session-recording tools. If you would like us to remove your analytics data, contact us at the address below.

5. Service Providers

We share data with a small set of providers, only as needed to run the Service:

• Hetzner (USA data center) — server hosting; your videos and our database live here.
• Resend — transactional email delivery (sign-in links, invitations, notifications).
• Sentry — error monitoring, so we can fix problems.
• Skylight — application performance monitoring.
• Google Analytics and Amplitude — usage analytics as described above.

6. Retention & Deletion

We keep your data for as long as your account exists. You can delete your account at any time from within the app — this permanently deletes your vaults, all uploaded videos, derived data (transcripts, thumbnails), and your account record. Deleting an individual video or vault removes its content the same way. Backups containing deleted data expire within 7 days.

Contributors: if you uploaded a video to someone's vault and want it removed, ask the vault owner, or email us at hello@momentvault.io and we will handle the request directly.

7. Children

Moment Vault accounts are for people 13 and older. Vaults often celebrate children — those videos are uploaded by adults, and the vault owner is responsible for having a parent or guardian's permission for videos featuring minors. If you believe a child's video was uploaded without appropriate consent, contact us and we will remove it promptly.

8. Security

All traffic is encrypted with TLS. Access to vault content requires your sign-in or an unguessable share link. We apply rate limiting and abuse protections to public endpoints. No system is perfectly secure, so we encourage you to share vault links only with people you trust.

9. Your Rights

Depending on where you live (including the EU/EEA, UK, and California), you may have rights to access, correct, export, or delete your personal data. Account deletion and video downloads are self-service in the app; for anything else, email us and we will respond within 30 days.

10. Changes to This Policy

If we make material changes to this policy, we will notify account holders by email or an in-app notice before the changes take effect.
